Tender tracking software, and finding the ones worth bidding

Tracking is not the hard part — most portals publish feeds. The hard part is that an unfiltered feed produces a hundred notices a week, nobody reads them by Wednesday, and the one that mattered is found with four days left.

Monitoring is easy, filtering is the product

Any system can collect notices. A useful one applies your actual bid criteria: the categories you work in, the contract values that are worth your time, the geographies you can serve, the frameworks you are already on, and the mandatory requirements you can meet.

The filter should be explicit and editable, because it is a business decision rather than a technical one, and because the honest version of it changes as capacity changes.

A notice with no owner is a notice nobody read

The failure is almost never detection. It is that the opportunity landed in a shared inbox. Routing a match to a named person, with a deadline and a decision date, is what turns tracking into pipeline.

That decision date matters more than the submission deadline. If the bid/no-bid is not made within a few days, the remaining time is spent deciding rather than writing.

Tracking what you did not bid for

Declined opportunities are data. A year of recorded decisions shows which categories you keep declining for capacity rather than fit, which buyers publish work you can never meet, and where the filter is set wrong.

Most organisations throw this away and then have the same conversation every quarter.

  • Sources chosen deliberately, not everything that publishes
  • Filters written as your real bid criteria and editable by the team
  • Every match routed to a named owner, not a shared inbox
  • A decision date separate from the submission deadline
  • Declines recorded with a reason
  • A periodic review of what the filter missed

Which portals can be monitored?

It depends on what each publishes and permits. Many public procurement portals offer feeds or APIs; some only publish web pages, which is slower and more fragile to rely on. The honest answer for any given portal is to check its terms and its feed before promising coverage.

Is this worth it if we only bid a few times a year?

Often not as software. If you bid rarely, a well-defined filter and a calendar reminder may be all you need. The case for a system grows with volume and with the number of people who have to agree.
