Pharmaceutical

Tender management software for pharmaceutical companies

Pharmaceutical tendering is unusual in three ways at once: the volume is high, the evidence is regulated, and the same product is priced differently in every market. Software written for general bidding handles none of those well.

Volume changes the design

A pharmaceutical supplier may respond to hundreds of tenders a year across many markets, often for the same catalogue of products. The bottleneck is not writing a persuasive answer; it is assembling an accurate pack correctly, repeatedly, at speed.

That shifts the value from authoring tools towards a product and evidence catalogue, with the dossier for each product and market held once and assembled per tender.

Regulatory evidence has a shelf life

Marketing authorisations, certificates, quality documents and country registrations all expire, and a submission with an out-of-date certificate can be rejected without anyone reading the rest.

Holding each document with its validity dates and the markets it covers, and refusing to assemble a pack from expired evidence, prevents a category of loss that has nothing to do with how good the offer was.

Pricing across markets

Price is frequently the decisive criterion, and reference pricing means a figure offered in one market can affect what is possible in another. Pricing decisions need to be visible, owned and recorded with their reasoning.

This is commercially sensitive, so access control is not a nice-to-have. Who can see which prices is part of the specification from day one.

What good looks like

  • A product and evidence catalogue, assembled per tender rather than per bid
  • Documents held with validity dates and market coverage
  • Assembly blocked when required evidence is expired or missing
  • Pricing decisions recorded with owner and rationale
  • Access control over commercially sensitive figures
  • Deadline tracking suited to high volume, not one bid at a time

Questions

Do you have pharmaceutical clients?

The tender operations platform we have published was built for a construction and infrastructure context. The patterns described here — evidence with expiry, catalogue assembly, access-controlled pricing — are ones we have built, but we are not going to imply sector experience we cannot evidence. Ask us directly and we will tell you exactly what we have done.

Can this integrate with our regulatory document system?

Usually, if it exposes an API or a file interface. The integration is often the real project: the tender system should read the authoritative source rather than hold a second copy of regulatory documents that drifts out of date.
